Set out below are the arrangements which have been put in place for the allocation and distribution of tickets for the Conference events which take place over the weekend of 5-6 July 2008.
Tickets are not required for access to the visitor area during the other sessions of Conference. However if Conference elects to go into “closed session” visitors will be asked to leave. The only predetermined closed sessions take place at the end of day.
Tickets, where required, for Fringe Events will be handled by the organisers of those events See Fringe Events on the website for details of these events.
Our aim is to operate a fair and practical method for the allocation and distribution of tickets whilst removing some of the concerns which have arisen at previous Conferences, most notably tickets not being used at what appeared to be fully subscribed events.
We have therefore adopted a policy of giving some priority to applications from those who have a particular reason for attending an event, for example through association with those taking part. We have also delayed more general applications for tickets until nearer the event on the basis that this reduces the likelihood of a change in arrangements which may cause a ticket to be returned or not to be used at all.
Where priority is being given to applications from a particular group there is a limit on the number of tickets available and a deadline by which the application must be made. We have ensured that there is a distribution of availability across groups and that for the main Conference events a minimum of tickets will be available through general application.
To minimise the complexity and cost of administration we have also reduced the number of applications and ticket distributions which will be handled by post. All general applications and confirmation of allocations will be dealt with through email. Wherever possible, tickets will be either collected at the Conference venue or distributed through a nominated co-ordinator.
We have already communicated to ordinands and their circuits the process by which they can make applications for tickets. The deadlines for the return of applications from ordinands is Friday 8 February and from their circuits Friday 7 March.
Conference Representatives automatically gain access to the weekend sessions through their badges but they will require tickets to attend an Ordination Service. Representatives’ guests require tickets for both the weekend sessions and the Ordination Services. Representatives may apply for these tickets using the online registration system from Monday 18 February until Friday 7 March.
